Job Description
We are seeking a detail-oriented and proactive Office Assistant to support the daily administrative operations of our insurance office. The ideal candidate will assist with various office tasks, including filing, data entry, customer service, and scheduling, while maintaining a high level of organization and professionalism. The Office Assistant will play a key role in ensuring the smooth running of the office and supporting the team in delivering exceptional service to clients.
Key Responsibilities:
- Administrative Support: Perform clerical duties such as filing, photocopying, and scanning documents. Maintain and organize office records, client files, and other essential documentation.
- Customer Service: Greet and assist clients in person, over the phone, or via email. Answer inquiries and direct them to the appropriate team members.
- Data Entry: Accurately enter, update, and maintain client information in the insurance management system.
- Appointment Scheduling: Schedule meetings and appointments for agents, managers, and clients. Maintain and update the office calendar.
- Office Supplies: Monitor office inventory and order supplies as needed to ensure the smooth functioning of daily activities.
- Document Preparation: Assist with the preparation of insurance documents, letters, and reports as directed by management or insurance agents.
- Mail Handling: Sort, distribute, and process incoming and outgoing mail, including packages and other deliveries.
- Policy Support: Assist with insurance policy renewals, endorsements, and cancellations by coordinating with clients and agents as needed.
- Other Duties: Perform additional administrative tasks and special projects as requested by management.
- High school diploma or equivalent; additional education or certifications in office administration is a plus.
- Proven experience as an office assistant, administrative assistant, or in a similar role (experience in insurance is a plus but not required).
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., printers, copiers).
- Ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
- Strong customer service skills and a positive, professional attitude.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Experience with insurance management software (preferred, but training will be provided).
- After initial training period, must be willing to take test to become licensed Home, Auto, Life insurance agent
